Sales Administrator - (MSP, Xero, Halo PSA, ConnectWise Manage )

About the Role

We are seeking a highly organised and proactive Sales Administrator to support Sales, Operations, Customer Success, Procurement, and Finance teams within a fast-paced Managed Services Provider (MSP) environment.

You will play a key role in coordinating the administrative and operational activities that support the end-to-end sales process, including quotations, procurement, renewals, CRM and PSA administration, customer orders, and billing support. Working closely with Account Managers, customers, vendors, finance, and service delivery teams, you will help ensure opportunities and customer requests are processed accurately and efficiently.

This role is well suited to someone with previous MSP or IT services experience who is confident working across multiple systems, managing competing priorities, and maintaining a high level of attention to detail.

Ideal Profile

Experience & Industry Knowledge

  • 2+ years of experience in Sales Administration, Sales Support, Sales Operations, or a similar role.
  • Previous experience within an MSP, IT services, telecommunications, or technology environment.
  • Good understanding of sales administration and operational workflows.
  • Experience supporting Account Managers, Business Development Managers, or customer-facing sales teams.
  • Understanding of recurring revenue models and managed services agreements.

Systems & Technical Skills

  • Hands-on experience with Halo PSA, ConnectWise Manage, and Xero.
  • Experience maintaining CRM systems, sales pipelines, contracts, customer records, and subscriptions.
  • Familiarity with CRM platforms such as Salesforce or HubSpot is advantageous.
  • Understanding of Microsoft licensing, cloud solutions, and IT hardware or software procurement is desirable.

Responsibilities

Sales Administration

  • Support Account Managers throughout the sales lifecycle.
  • Prepare, review, and issue customer quotations and proposals.
  • Create and maintain opportunities within CRM and PSA platforms.
  • Keep customer records, contracts, and sales documentation accurate and up to date.
  • Monitor sales opportunities and ensure relevant information is maintained correctly.
  • Follow up on outstanding quotations and customer requests.
  • Support contract renewals and recurring service agreements.

Procurement & Vendor Coordination

  • Raise and process purchase orders accurately.
  • Obtain supplier pricing, product information, and licensing details.
  • Coordinate hardware, software, and licensing orders.
  • Liaise with distributors and vendors to obtain order updates and resolve issues.
  • Track procurement activities through to completion.

PSA & CRM Administration

  • Maintain accurate records within Halo PSA, ConnectWise Manage, or equivalent platforms.
  • Update opportunities, projects, contracts, subscriptions, and customer information.
  • Generate reports relating to sales activity, renewals, and pipeline performance.
  • Identify opportunities to improve sales administration processes and workflows.

Invoicing & Billing Support

  • Generate customer invoices using Xero.
  • Validate billing information and ensure invoices are accurate.
  • Reconcile supplier invoices against purchase orders and customer sales orders.
  • Assist with recurring billing and subscription renewals.
  • Provide administrative support to Sales and Finance teams on billing-related activities.

Customer & Stakeholder Communication

  • Act as a key point of contact for customer enquiries relating to quotes, orders, renewals, and procurement.
  • Provide timely and professional updates to customers and internal stakeholders.
  • Coordinate communication between customers, vendors, Account Managers, Finance, and service delivery teams.
  • Help maintain a positive customer experience through accurate and responsive communication.
